What this staff register is for
Schools keep meticulous attendance for students and often a single ruled register for staff, signed on the way in, with leave tracked in the principal's diary. When the management or the education department asks for a teacher's leave record, or when salary for a teacher on unpaid leave has to be computed, the register and the diary rarely agree. This template is for staff, not students: the teachers, administrative staff, lab assistants, librarians, drivers, support and housekeeping staff who make the school run.
It is designed for principals, school administrators and accounts staff in private schools, coaching institutes and colleges. It records daily attendance with codes that match how schools classify leave, totals each code per staff member, and carries CL and EL balances on a Leave Summary sheet so that a balance is never a matter of memory.
Rules for school staff leave vary. Government and aided schools follow state education department leave rules; private unaided schools are usually governed by the state's Shops and Establishments Act or a state private schools Act along with their own service rules. The template keeps the codes generic so it fits either; enter your own entitlements on the Leave Summary sheet.
What is inside: Staff Register and Leave Summary
The Staff Register sheet has a header with School name and Month. Each row is a staff member: Sr, Staff Name, Designation with a Teaching or Non-teaching classification, then Days 1 to 31. Codes are P for present, A for absent (unpaid), CL for casual leave, EL for earned leave, ML for medical leave, DL for duty leave (examination duty, training, sports escort or other official work away from school) and H for holidays and vacation days. Weekly offs are marked H as well, or WO if you prefer to separate them.
After day 31, the totals: one column per code (P, A, CL, EL, ML, DL, H) each a COUNTIF, a Paid Days column that adds every code except A, and a Signature column for the staff member's month-end acknowledgement. A principal's signature line at the bottom closes the month. Because teachers on DL are working, DL counts as paid and is shown separately so it is not mistaken for leave.
The Leave Summary sheet has one row per staff member for the academic or calendar year: CL Entitlement, CL Taken (year to date), CL Balance; EL Opening, EL Credited, EL Taken, EL Balance; ML Taken; and A Days. CL Taken and EL Taken are SUMPRODUCT totals across the twelve monthly register sheets, so adding a code in any month updates the year's balance.
- Casual leave in the month: =COUNTIF(D6:AH6,"CL"); repeat for A, EL, ML, DL and H.
- Paid Days: =COUNTIF(D6:AH6,"P") + CL + EL + ML + DL + H, i.e. every day except A.
- CL Balance on Leave Summary: =CL Entitlement − CL Taken; EL Balance: =EL Opening + EL Credited − EL Taken.
- Year-to-date CL Taken: sum of the month sheets' CL columns, e.g. =SUM(Apr!AO6, May!AO6, ..., Mar!AO6).
How to use it through the academic year
Set up one workbook per academic year with a register sheet per month and the Leave Summary. Enter staff names and designations once and copy them to each month. Mark H for all staff on declared holidays and vacation days at the start of the month so only working days need daily marking.
Each working day, the office assistant marks P against staff who signed in, and the principal's office converts approved applications into CL, EL, ML or DL. Do not leave a cell blank; a blank is invisible in the totals, so use A for unexplained absence and correct it when the application arrives. At month end, take signatures, and the Leave Summary already shows year-to-date balances.
For salary, the Paid Days column is what accounts uses; A days reduce pay. If your school pays teachers for vacation, H covers it; if support staff on daily rates are not paid for holidays, keep them on a separate section of the register with their own paid-day formula. - Group teaching and non-teaching staff in separate blocks so department-wise totals can be read directly.
- Add a 'Late' mark as a cell comment rather than a code, so it does not alter paid days unless your rules say so.
- Print the signed register monthly and file it; inspections from the education department ask for it.
How to customise it
Add codes your rules recognise: HPL for half-pay leave, MAT for maternity leave, EOL for extraordinary leave without pay, SL if you separate sick from medical leave, and CO for compensatory off after working on a holiday for admissions or events. For colleges with vacation and non-vacation staff, add a Vacation flag column and treat H differently: vacation staff earn EL at a lower rate because they receive vacation. For schools with hostel staff working weekends, use WO instead of H for their rest days so the H column remains a count of school holidays only.
If salary is computed on paid days, add Monthly Salary and Per Day Rate columns and an Earned Salary formula as in the attendance sheet with salary calculation; most schools keep salary in a separate sheet and carry Paid Days across.
Rules that apply to school staff attendance and leave
Private unaided schools are generally covered by the state Shops and Establishments Act for hours, weekly off and leave, unless a state private schools Act or education department rules prescribe service conditions for teachers, as several states do through recognition norms. Leave entitlements for teachers in such rules are often more generous than the Shops and Establishments minimum and distinguish vacation and non-vacation staff. Check the recognition conditions your school operates under and enter those entitlements on the Leave Summary.
The Labour Codes in force since 21 November 2025 apply to schools as establishments for wages, working hours of 48 a week, weekly rest and social security: EPF for establishments with 20 or more employees at 12% of basic plus DA up to the ₹25,000 ceiling from 17 September 2026, and ESI in implemented areas for employees earning up to ₹21,000 gross. Payment of Gratuity applies after five years of continuous service, and the register is the primary evidence of continuous service.
Maternity leave of 26 weeks for the first two children applies to schools with 10 or more employees. Duty leave for board examination work and training is treated as duty, not leave, which is why the template gives DL its own code. Keep the register for the retention period your state rules require; recognition renewals and staff disputes both rely on it.
When the register stops working
The register works for a single-campus school with a disciplined front office. It strains when staff sign in for colleagues who arrive late, when a school has a branch or a hostel and registers have to be consolidated, when substitute-teacher arrangements are made by phone and never recorded, and when the leave balance in the register disagrees with the principal's diary at increment time.
