What employees can do in ESS
The core ESS functions map to the questions employees ask HR most: Was my attendance marked today? What is my shift tomorrow? How many leaves do I have left? Why is my salary less this month? Where is my payslip for the bank loan? Each of these is a lookup that costs an HR executive minutes and the employee a trip to the office; ESS answers them on the phone.
Beyond lookups, ESS carries transactions: leave applications routed to the manager, attendance regularization requests for missed punches with a reason and optional proof, shift swap requests, document uploads for onboarding, and acknowledgement of policies or post orders.
- Attendance: today's punch status, monthly calendar, late marks, hours worked.
- Shifts: personal roster for the week or month, published changes, open shifts.
- Leave: balances by type, apply, track approval, holiday calendar.
- Pay: payslip download, LOP and overtime visible before payday.
- Requests: regularization, swaps, profile and bank detail changes with approval.
Why ESS matters for shift and field workers
For a guard on a remote site or a housekeeper at a client office, HR is a phone number in another city. Without ESS, a missed punch is discovered on payday as a LOP deduction, and the dispute costs everyone time. With ESS the employee sees the gap the same day, raises a regularization with the supervisor, and payroll receives corrected data. Payslip access in the app also ends the monthly queue for printed slips needed for loans and rentals.

Setting up ESS well
Keep the app simple and in the languages your workforce reads; a guard should be able to mark attendance and check his shift in three taps. Restrict what employees can change without approval (bank details and personal data should always be approved). Push notifications for roster publication, approvals and payslip availability drive adoption more than any training session.
Under the DPDP Act employees have a right to know what personal data is held about them; ESS is the practical way to show it. Make sure the app also shows the location and attendance data collected, not just leave and pay.
Housekeeper Meena finishes her 06:00–14:00 shift on the 9th but forgets to punch out. That evening the app shows the 9th as 'missing out-punch'. She raises a regularization with the note 'left at 14:05, supervisor Ravi present'. Ravi approves on the 10th. On the 1st of the next month her payslip shows 26 paid days; without ESS the 9th would have been a half-day LOP and a dispute on payday.
