Keep one definition per policy. Publishing the formula with the attendance policy avoids disputes when the percentage drives an incentive or a confirmation review.

Which days count as present

Attendance percentage is present days divided by working days, multiplied by 100. The argument is always about what goes into the numerator. Half days count as 0.5. Approved paid leave is usually counted as present for attendance-bonus purposes but excluded when you want to measure physical presence, so the calculator lets you toggle it. Weekly offs and declared holidays are not working days at all and should be left out of the denominator.

Keep the definition stable across months and departments. A factory that counts paid leave as present in January and excludes it in February cannot compare the two numbers, and an attendance incentive built on a shifting definition invites disputes.

If you use it for pay, write the definition into the attendance policy, publish it, and generate it from the same records used for salary so that the number on the payslip and the number on the dashboard match.

What is the formula for attendance percentage?
Attendance percentage = (days present ÷ total working days) × 100. Count a half day as 0.5. For example, 24 present days plus 2 half days out of 26 working days is 25 ÷ 26 × 100 = 96.15%. Weekly offs and holidays are removed from working days before you divide.
Does paid leave count as present in attendance percentage?
It depends on the purpose. For an attendance bonus that rewards discipline, approved paid leave is commonly treated as present so employees are not penalised for using entitlements. For measuring floor presence or planning coverage, exclude it. The calculator has a switch for both views.
What is a good attendance percentage for employees?
There is no legal benchmark. Many operations teams treat 95% and above as healthy and investigate below 90%, but shift-heavy sectors such as security and manufacturing often set targets per site because travel, weather and contract patterns differ. Track the trend per department rather than a single company number.
How do I calculate attendance percentage in Excel?
