What is employee management software?
Employee management software is a system that keeps one record for every employee and runs the everyday work around that record: who is on staff, when they clocked in, which shift they are on, how much leave they have left, which documents they have submitted, and what goes into their salary this month. Instead of a register, a leave diary, a WhatsApp roster and an Excel salary sheet that never quite agree, everything reads from and writes to the same employee record.
Most products combine an admin dashboard for the owner, HR or managers with an employee app where staff clock in, apply for leave, see their shifts and download payslips. The names vary (employee management system, staff management software, HR software, HRMS), but the job is the same: replace manual tracking of people with a system that produces records you can trust and pay from.
What employee management software does day to day
The value shows up in routine tasks that otherwise eat a manager's week. A typical day in a business that runs on employee management software looks like this:
- Staff clock in from a phone, a kiosk or a biometric device, and the manager sees who is in, late or absent without calling anyone
- Leave requests arrive in the app with the balance shown, and approval updates the attendance record automatically
- The roster for next week is published to everyone's phone, and shift swaps go through an approval instead of a phone call
- Offer letters, ID proofs and certificates sit in each employee's file instead of a cupboard
- At month end, payable days, overtime and leave without pay flow into the salary calculation instead of being counted by hand
- Reports show attendance trends, late marks and headcount by site or department
Core modules and what each one replaces
Products are sold as modules, and most businesses start with two or three. Knowing what each module replaces makes it easier to decide where to start.
- Employee database: replaces the joining file and the master Excel; holds personal details, job details, documents and history. See employee database
- Attendance and time tracking: replaces the attendance register and biometric exports; adds GPS, face or Wi-Fi checks for staff who clock in from phones
- Leave management: replaces the leave diary and email approvals; tracks balances, holidays and policies
- Shift and roster management: replaces the WhatsApp roster; handles rotating shifts, weekly offs and swaps. See employee shift management
- Payroll: replaces the salary sheet; calculates earnings, PF, ESI, professional tax and TDS, and produces payslips
- Employee self-service (ESS): replaces HR answering the same questions; staff see their own attendance, leave and payslips. See employee self-service
- Documents, ID cards, performance, hiring and exit: added as the team grows
Employee management software examples (10 tools by type)
The products below show the main types you will meet when you search. They differ more in who they are built for than in their feature lists, so group them by type first. Attend Mitra is our own product; we have included it where it fits and said so.
- All-in-one HR suites for Indian companies: greytHR, Keka and Zoho People cover employee records, attendance, leave and payroll, with plans priced for teams of about 25 and up
- Enterprise HR platforms: Darwinbox is built for large organisations with complex structures, and sells through demos and quotes rather than published prices
- Attendance-first apps for staff who work at sites or in the field: Attend Mitra (ours) and SalaryBox focus on mobile clock-in with location or face checks, then pass attendance to payroll
- Free time clocks: Jibble offers free clock-in for unlimited users and charges for advanced features
- Staff and salary apps for small shops: PagarBook lets owners mark staff attendance free and pay for salary, PF and ESI features
- Shift scheduling tools for hourly teams: Deputy and Connecteam are built around rosters, shift swaps and a time clock for frontline staff, and are used mostly outside India; more in our list of workforce management software companies
Employee management software vs HRMS vs workforce management software
The three labels overlap, and vendors use them loosely, but they point at different centres of gravity. Employee management software is the broadest everyday term: managing people's records, attendance, leave and pay. A human resource management system (HRMS) is the full HR suite, adding hiring, onboarding, performance, payroll compliance and exits around the same employee record; our guide to human resource management software explains the modules.
Workforce management (WFM) software is narrower and more operational: forecasting how many people you need, scheduling shifts, tracking time and controlling labour cost, mostly for hourly, shift and field teams. Our guide to workforce management software covers it in detail. A small business usually needs a little of all three, which is why many products for that market combine attendance, shifts, leave and payroll in one app.
What employee management software costs in India
Indian vendors price in one of three ways: per employee per month (often ₹30 to ₹200 depending on modules), a flat monthly fee for a slab of employees (for example up to 50), or a free plan with paid upgrades. Prices are usually quoted before 18% GST, and the cheapest plan often leaves out attendance or payroll, so compare the plan that has the modules you will actually use.
As listed on vendors' own pricing pages in October 2026: Jibble's time clock is free for unlimited users; greytHR starts at ₹2,495 a month for 50 employees, but attendance needs the ₹4,495 Growth plan; Zoho People costs ₹48 to ₹192 per user a month on annual billing; and Attend Mitra's Attendance module is ₹29 per employee a month. The attendance software cost guide works through what 10 tools charge for 50 employees, and free employee management software covers the genuinely free options.
How to choose employee management software
Most bad purchases come from choosing on the feature list instead of on how your staff actually work. Answer these before you book a demo:
- How do staff clock in today: at one office, across several sites, or in the field? Pick the attendance method (phone with GPS or face, kiosk, biometric) before the product
- Will you run payroll in the same system, or keep your accountant? If in-house, check PF, ESI, professional tax and TDS handling for your states
- Does the employee app work on cheap Android phones and, if needed, on iPhone, and does it record attendance without network?
- Can a manager approve leave and fix a missed punch from their phone in under a minute?
- Can you export everything (attendance, leave, salary) to Excel if you ever leave?
- What will you pay in a year at the headcount you expect, including add-ons and GST?
Rolling it out without losing a month
Start with a clean employee list (ID, name, phone, department, joining date, salary), set up your attendance rules and leave policy, then pilot with one team for a week while the old register keeps running. Compare the two daily, fix the rules that don't match reality, and only then switch the rest of the company. Run the first payroll from the new system in parallel with your old calculation, and keep both until they agree.
Our list of the best employee management software compares ten products side by side, and for teams under 50 the small business guide shows what to buy at 10, 25 and 50 employees.
Employee management in Attend Mitra
Attend Mitra is built for Indian teams that work across offices, shops, sites and the field. Staff clock in from the Android or iPhone app with face verification, a GPS geofence or office Wi-Fi checks, and attendance records even without signal through offline mode. Leave, shifts, payroll, documents, ID cards and performance are separate modules you add as needed.
Pricing is per employee per month: Attendance ₹29, Leave ₹9 and Payroll ₹32, with 8% to 22% off when you combine modules, plus GST, and a 14-day free trial. The module price builder shows the total for your headcount, and the workforce management solution page shows how the modules fit together.
