What is human resource management software?
Human resource management software, usually called an HRMS, is a system that runs the whole employee lifecycle from one record: hiring, onboarding, attendance, leave, payroll, performance and exit. Every module reads the same employee data, so a new joiner entered once appears in attendance, gets a leave balance, lands in the next payroll run and shows up in reports without anyone typing them in again.
You will also see HRIS (human resource information system) and HCM (human capital management). In practice an HRIS is the records-and-reporting core, an HRMS adds the day-to-day processes such as attendance, leave and payroll, and HCM is the label enterprise vendors use for suites that add talent, learning and workforce planning. For a buyer in India the difference matters less than the modules a plan includes. The HRMS glossary entry has the short definition.
The modules of an HRMS
Vendors package modules differently, and the cheapest plan usually leaves some out. These are the modules to look for, roughly in the order companies adopt them:
- Core HR and employee database: personal and job details, reporting lines, documents, letters and history
- Attendance and time: clock-in by phone, kiosk or biometric device, shifts, late marks, overtime and regularisation
- Leave: leave types, accrual, holidays, approvals and leave without pay that flows into payroll
- Payroll and statutory compliance: salary structures, PF, ESI, professional tax, TDS and Form 16, payslips and bank transfer files
- Employee self-service: an app or portal where staff see attendance, apply for leave, download payslips and update details
- Recruitment and onboarding: job posts, candidates, offer letters and first-day paperwork
- Performance: goals, reviews and appraisal cycles
- Expenses, assets and exits: reimbursements, company assets and full-and-final settlement
- Reports and analytics: headcount, attrition, attendance trends and payroll cost
What an HRMS replaces, and what you gain
Before an HRMS, most Indian companies run HR on an attendance register or biometric export, a leave diary or email trail, a salary sheet in Excel, and a cupboard of joining files. Each is maintained by a different person and none of them agree at month end. The real gain of an HRMS is not any single feature but the end of reconciliation: attendance, leave and salary come from the same data, so the month closes in hours instead of days.
Other gains are easier to see once you have it: employees stop asking HR for their leave balance because the app shows it; managers approve requests from their phones; payslips and Form 16 are generated rather than typed; and an inspector or auditor can be shown a register on demand.
Indian payroll compliance an HRMS must handle
An HRMS built for India has to get statutory deductions right, state by state. Check each of these in the demo with a real salary structure, not the vendor's sample:
- Provident Fund: 12% employee and employer contributions on basic pay and DA, the monthly ECR file, and the wage ceiling for mandatory coverage, which rose from ₹15,000 to ₹25,000 a month on 17 September 2026; see what the ₹25,000 EPF ceiling changes and the PF calculator
- ESI: 0.75% employee and 3.25% employer contributions for employees earning up to ₹21,000 a month gross. See the ESI calculator
- Professional tax: state-specific slabs, capped at ₹2,500 a year; some states, such as Uttar Pradesh and Delhi, don't levy it. See the professional tax calculator
- TDS on salary and Form 16, under the regime each employee chooses
- Labour Welfare Fund, gratuity, bonus and leave encashment where they apply
- Registers and reports in the formats your state and the Labour Codes expect
Cloud HRMS and the mobile app
Almost every HRMS sold in India today is cloud software: you pay a monthly or annual subscription, the vendor hosts it, and updates (including statutory changes) arrive without an IT team. On-premise and open-source HRMS still exist and suit companies with strict data policies and in-house IT, but they move the work of hosting, updates and compliance changes onto you.
The employee app matters more than buyers expect. If staff work outside an office, attendance happens on their phones, so test the app on the cheapest Android phone in your company, with location and camera checks on, and in a place with weak signal.
What HRMS software costs in India
Published prices, as listed on vendors' own pages in October 2026 and before 18% GST, show the range. greytHR starts at ₹2,495 a month for 50 employees, with attendance on the ₹4,495 Growth plan. Pocket HRMS lists ₹2,995 and ₹4,495 a month for 50 employees on annual billing. factoHR has a free plan for up to 20 employees with a limited set of modules, and Core at ₹4,999 a month for up to 50. Zoho People runs ₹48 to ₹192 per user a month on annual billing. Keka and enterprise platforms quote on request and may charge a setup fee.

How to choose human resource management software
Shortlist three products that fit your size, then make each vendor prove the parts that will break in your company:
- Run one real month: your actual attendance rules, leave policy and two or three real salary structures
- Test the employee app with staff who clock in from sites or the field, not only office staff
- Ask how statutory changes (a new PF or ESI rule, a state's PT revision) reach your account, and how quickly
- Check data export: can you download employees, attendance, leave and payroll history in Excel?
- Check support hours and language, and who configures your policies during setup
- Price a full year including GST and add-ons, then the same at twice your headcount
Implementing an HRMS in four steps
Clean the employee master first: one row per person with ID, department, joining date, salary structure and statutory numbers (UAN, ESI). Configure leave types, holidays, shifts and attendance rules next, then invite employees to the app and run attendance for two weeks alongside your old method. Finally, run one payroll in parallel and compare it line by line with your previous calculation before you switch over.
Attend Mitra as an HRMS
Attend Mitra started with attendance for teams that clock in from sites and the field, and now covers the HRMS modules most Indian SMEs need: attendance with face, GPS and Wi-Fi checks, leave, payroll, documents, ID cards, performance, incident reporting and a hiring tool. Modules are priced per employee per month (Attendance ₹29, Leave ₹9, Payroll ₹32), with 8% to 22% off bundles and a 14-day free trial; see the module prices.
