How to use the factoHR app: the short answer
To use the factoHR app, install the factoHR employee self-service (ESS) app from Google Play or the App Store, sign in with the username your company gave you (usually your employee code) and the first-time password your HR set, then change the password when asked. After that you can punch attendance, apply for leave, request attendance corrections and download payslips from the app.
factoHR is made by Version Systems Pvt. Ltd., and the iPhone version is listed as FactoHR Mobile Solutions. You only see the modules your employer has bought, so two people at different companies can see quite different menus.
Attend Mitra isn’t affiliated with factoHR; we make a competing attendance app, and the steps below come from factoHR’s own help center, website and app store listings.
factoHR employee app login: first-time sign-in
factoHR’s help center says the same login screen serves both HR admins and employees. On the web, each company gets its own link in a format like app1.factohr.com followed by your company’s name; some companies are on app.factohr.com or app2.factohr.com instead, so ask HR for the exact link. factoHR recommends Google Chrome for the web portal.
- Enter your username. For employees this is your employee code, unless HR gave you a separate login ID.
- Enter the first-time password. Depending on your company’s policy, it’s your date of birth (DDMMYYYY), your employee code or your PAN.
- When prompted, type the existing password, then a new password twice. Your company decides the rules, such as minimum length or whether special characters are allowed.
- Wait for the confirmation that the password was changed, then use the new password from now on.
- If your company has turned it on, the app’s release notes show you can also sign in with Google, Microsoft, single sign-on or your phone’s fingerprint or face unlock.
Forgot your factoHR password?
factoHR has a self-service reset that sends a one-time password (OTP) to your registered email, mobile number or both, depending on your company’s setting.
- On the login screen, click Trouble Logging In.
- Enter your username and the captcha characters, then submit.
- Click OK on the message saying the OTP was sent.
- Log in with your username, using the OTP as the password.
- Set a new password when asked and save it.
How to mark attendance in the factoHR app
factoHR’s mobile app page lists several ways to punch, and your HR admin picks which ones apply to you: a selfie punch that also tags your location, face recognition through the phone camera with no extra hardware, geofencing that accepts punches only within a set radius of approved locations, auto punching in the office, and an offline geo-punch option. Some companies also run the factoHR app in kiosk mode on a shared device at the gate.
factoHR’s help center doesn’t publish a screen-by-screen guide for the punch button, and labels vary by company setup, so treat these as the general flow:
- Open the factoHR app and sign in.
- Go to the attendance or punch option on the home screen.
- Allow camera and location access when the app asks; selfie, face and geofence punches need them.
- Take the selfie or face scan if your company uses one, while standing inside the approved location.
- Check that the punch time appears, and punch out the same way when your shift ends.
Fix a missed punch: factoHR attendance regularisation
If you forgot to punch or a punch is wrong, raise an attendance regularisation request. factoHR says you can do this from the web portal or the mobile app (the iPhone listing calls it attendance rectification). The web ESS steps from factoHR’s help center:
- Log in to ESS and open the Attendance Regularization screen.
- Set the Date filter; it shows the current month by default.
- Click the Edit icon at the end of the row for the day you want to fix.
- Enter the correct In or Out time, pick a Reason from the list and add Remarks.
- Click Save, then Submit to send it for approval. Once approved, the corrected times show as AR In and AR Out.
Apply leave and use other ESS features in factoHR
On the web, open the Leave menu, go to the Transaction tab and choose Apply Leave. Your name is filled in already. Pick the Leave Type (only types you’re eligible for appear), check the Available Balance, set the From and Till dates, choose Full Day or Half Day, add Remarks and, if needed, an attachment such as a medical certificate, then click Submit. The form also shows other team members on leave on those dates.
In the app, factoHR lists these employee features, subject to what your company has enabled:
- Check leave balance and apply for leave; leave status arrives as a notification.
- Request comp off for extra hours or holiday work, and ask for a shift change.
- View and download payslips, year-to-date earnings and income-tax statements.
- See PF statements and check your EPF balance using your UAN and mobile number.
- Raise travel and reimbursement claims, or a helpdesk ticket.
- Ask FactoBot, the AI chatbot, for your leave balance or payslip.
factoHR for managers and HR admins
Managers approve leave, attendance and travel requests from Approvals, which opens next to the dashboard after login on the web and has its own section in the app, including bulk approvals. The app also gives managers an In and Out report of their team’s entry and exit times. A separate FactoHR Admin App on the App Store covers admin tasks such as punching and registering employees’ faces.
Mobile app access and attendance are part of factoHR’s paid plans. As listed on its pricing page in October 2026, the free plan (up to 20 employees) covers employee data, letters and payslips but not attendance; Core costs ₹4,999 a month for up to 50 employees and includes attendance, face recognition and the mobile app; geo-fencing starts on Premium at ₹5,999 a month, all before 18% GST.
factoHR app not working? Quick fixes
Most factoHR app problems are account or permission settings that HR can fix in minutes:
- Can’t log in at all: factoHR’s app listing says to contact your PF or payroll administrator. Your account may not be active yet.
- OTP never arrives: your email or mobile number may be missing from your record. Ask HR to add it.
- Punch rejected: turn on location, give the app camera and location permission, and move inside the approved area.
- A menu is missing: your company hasn’t enabled that module or feature for you.
- App crashes or looks outdated: update it from your app store and sign in again.
- Need it on a PC: factoHR doesn’t list a separate desktop app for employees; open your company’s factoHR web link in Chrome.
Doing the same in Attend Mitra
Attend Mitra covers the attendance side of this with a simpler, phone-first setup, priced per employee: Attendance is ₹29 and Verified Attendance (face, GPS and Wi-Fi checks) ₹16 per employee per month before 18% GST, ₹41.40 together after the bundle discount, with a 14-day free trial. Punches made without signal are saved on the phone and synced later, and a geofence around each site keeps clock-ins honest.
factoHR makes sense if you want a full HRMS with recruitment, travel claims, PF statements and support for existing biometric machines. Attend Mitra suits teams that mainly need a mobile attendance app for field and site staff with leave and payroll modules you add as needed. If a payroll cut-off is close and punches are missing, our guide to handling missed punches before payroll helps either way, and our overview of attendance steps across HR apps compares other tools. The Attend Mitra flow:
- Install the Attend Mitra app on Android or iPhone and sign in.
- Slide to clock in; complete the face check or stay inside the geofence if your company uses them.
- Slide again to clock out; your history appears in the app.
- Managers review the day’s attendance from the web dashboard.
